Refund Policy

A legal disclaimer

At Motion Media, we strive to provide reliable and effective mobile digital advertising services. Due to the nature of our campaigns, all sales are final once a campaign has been confirmed and launched. Please read the following refund and cancellation terms carefully.

1. Deposit and Payment

A 50% non-refundable deposit is required to secure your campaign booking.

This deposit confirms your commitment to the scheduled campaign dates and enables us to allocate resources accordingly.

The remaining balance must be paid in full at least 5 business days before the campaign start date.

Failure to make full payment within the required period may result in the campaign being delayed or cancelled at Motion Media’s discretion.

2. Campaign Launch Definition

For the purpose of this policy, “campaign launch” is deemed to have occurred once the scheduled advertisement goes live on a Motion Media taxi billboard or when the advertisement is first displayed in any capacity as per the approved campaign schedule.
Once the campaign has launched, no refunds or credits will be issued.

3. Refund Eligibility

Refunds will only be considered if Motion Media cancels a campaign prior to launch for reasons within our control.

In such cases, a full refund of all amounts paid, including the deposit, will be issued.

Refunds will be processed within 7 business days of cancellation.

All refunds will be made in South African Rand (ZAR) and to the original payment method used by the client.

4. Cancellations by Client

Cancellations made at least 7 business days before the campaign launch date are eligible for a full refund of all amounts paid, including the deposit.

Cancellations made less than 7 business days before launch will result in the forfeiture of the 50% deposit in full.

Any payments made beyond the deposit may be refunded at Motion Media’s discretion, taking into account costs already incurred and resources allocated.

If the campaign has already launched, no refunds or credits will be provided.

5. Client Responsibilities

Clients are responsible for providing all advertising materials (including creative assets, artwork, or video content) by the agreed deadline prior to the campaign launch.

Failure to deliver materials on time may result in delays or cancellation of the campaign.

In such cases, Motion Media reserves the right to retain the deposit and/or apply additional rescheduling fees.

Motion Media is not liable for delays or loss of exposure caused by late submissions from the client.

6. No Refunds After Campaign Launch

Once a campaign has launched, no refunds or credits will be provided for any reason, including early termination, underperformance, or client dissatisfaction.

Motion Media will, however, work in good faith to address reasonable operational concerns during the campaign period.

7. Rescheduling

Clients may request a campaign reschedule with at least 5 business days’ notice prior to launch.

Rescheduling requests are subject to availability and approval by Motion Media.

Any reschedules requested after this period may be declined or subject to an additional administrative fee.

8. Force Majeure

If a campaign cannot proceed due to events beyond Motion Media’s control (including but not limited to natural disasters, government restrictions, technical failures, strikes, or civil unrest), we reserve the right to:

Reschedule the campaign to a mutually agreed date, or

Issue a refund at our discretion, depending on the circumstances.

9. Limitation of Liability

Motion Media’s total liability, whether in contract, delict, or otherwise, shall not exceed the total amount paid by the client for the specific campaign.
We are not liable for indirect, incidental, or consequential damages, including lost profits or missed opportunities resulting from campaign delays, technical issues, or unforeseen circumstances.

10. Requesting a Refund

All refund requests must be submitted in writing to our customer service team at [insert email/contact].

Requests will be reviewed and responded to within 10 business days.

Approved refunds will be processed in accordance with this policy.
